Drivers drivers daily run procedure

When you are notified of your shift via Skype, prior to your shift, reply via Skype that you have received the message and acknowledged the roster for your shift. If you have not heard about your shift by 3pm, before your shift normally starts, contact the person in charge of rostering (Kate) via Skype, following the comms policy

Start of shift

  • open up
  • collect all required equipment and keys from the safe
  • log into iPad
  • check oil and water in truck
  • do external visual inspection of truck
  • check bin spares, Keys, Padlocks, Sticker stock levels and other spares in truck
    • replenish if needed
  • start run app
    • report any new damage or urgent repairs not yet completed, in as much detail as possible and take photos of any new damage
  • check the run for additional add-ins, e.g. fit lock, NEWDDBAG, etc. Ensure you have the equipment required to complete the job, e.g. Tools, chain, bolts
  • move truck out and lock up
  • complete the run

During the run

  • complete all jobs as per the notes
  • if you cannot complete a job,  i.e. BNO, check the notes to ensure you are
    1. at the right address, use Google maps and street view to help if needed
    2. at the right location, e.g. is the bin located around the back of the building?
      • if you cannot find the bin in its usual place or where the notes say it should be, check all possible locations where the customer could place it to ensure that it wasn't just moved. If it is during office hours go inside and ask before marking it as BNO. Also, please ask office to assist.

(Note to Office: Please ensure that every time there is a question about a BNO, and you need to call a different number to that available to the driver on the run sheet, that you update the number that appears to the driver (Site Contact) and on core runs (if applicable) and also that you check there are satellite and street view photos available for the driver showing the correct collection location so next time, they know they are in the right place and can safely BNO it, unless it is an "At Call", then they will have a working number to call.)

    1. using the app, take a photo of the location where the bin should be placed with the area being clearly identifiable, i.e. a landmark or something that could be found in Google Maps.
  • If there is an incident
    1. Report this in Skype straight away
    2. Take photos of the entire outside of all vehicles and/or other items involved paying particular attention to any damage caused
    3. Exchange details with any other party involved
      • DO NOT UNDER ANY CIRCUMSTANCES GIVE ANYONE’S PERSONAL DETAILS! Only the company name, office or postal address and phone number is to be given out.
    4. Fill in the incident report form found in the blue folder in the truck before leaving the scene , ensuring to get ALL details required to complete the form in full
    5. Take a photo of BOTH SIDES of the incident report form and upload them and all photos of the vehicles and other items involved in your Skype group chat
    6. Hand in the incident report form with your paperwork at the end of your shift
  • For Fitlock, NEWDDBAG, bin deliveries, etc., have the back invoice (the one that has the picked by details on it) signed by the customer and PRINT their name. Give the front copy and any annual fee invoice to the customer
    1. Check the name of the person who signed the invoice. If it is not legible ask their name and print it on the invoice  yourself
    2. Ensure the delivery time and date are in the invoice. If not, fill in them yourself
    3. Using the note button in the app, take a photo of the signed invoice and put the receivers name in the additional notes

 

  • Damaged bins should be photographed and reported BEFORE emptying them, or if damaged during emptying, the photo can be taken after. Report the damage in Skype, including sending the photos and if it was already damaged (bin still full in photo) or if you damaged it during emptying (bin empty in photo) before moving to the next job
  • Worn or missing stickers should be replaced as soon as they are noticed. You should always have stock of stickers in the truck. Take a photo before and after replacing the stickers and upload them in Skype for record keeping. Ensure to mention the customer name and suburb in a message to match the photos to a customer. If you have no stickers, take a photo of the bin and upload it, the customer’s name, address, type of bin, and stickers required in Skype so the office can arrange to have the stickers replaced next time we are in the area

End of run

  • empty truck
    • in the app do the following
      • record tip type, i.e. One Paper, Cleanaway
      • record the product type, i.e. PC, GW
      • record entry time
      • record the load weight
      • record docket numbers
      • write the truck registration number, run type and load weight on the docket(s)
      • take photo of docket(s) to upload in app
      • record exit time

 

  • refuel truck
    • in the app do the following
      • record entry time
      • record litres of fuel put in truck
      • record receipt numbers
      • write the truck registration number and run type on the docket(s)
      • take photo of receipt to upload in app
      • record exit time

 

  • return to yard
    • open the yard (Night shift)
    • park the truck in the truck parking area
    • clean out inside cab of truck
      • GW run to wash out the tub in the back of the truck
    • check the truck for any new damage, e.g. tyres, lights, body, leaks etc., report any new issues at the end of run check list
    • drain air tanks
    • complete run app recording any issues found in detail in the app, e.g. “Left rear clearance light not working”, not just “light” or “light not working”
    • hand paperwork in to the office, night shift to leave paperwork on the desk in the site shed
    • close all apps on the iPad and press the power button to lock the screen. Lock the iPad and keys back in the safe. Put any other equipment used away correctly, e.g. drill in the draw, pressure washer in the container
    • day shift see task list for additional jobs and assist with any outstanding jobs e.g. pick orders, put stock away. Always ask transport supervisor BEFORE leaving.
    • night shift ensure all is secure and lock up before heading off, e.g. Pressure washer is off, power tools locked away.

EACH SHIFT MUST WASH THEIR TRUCK WEEKLY

Night shift can come in early or complete it after the run but it must be done weekly
