Bonus Points System

PURPOSE:
To provide and implement a systematic, organised and objective policy and procedure in adding or deducting point/s to all team members in Melbourne branch in relation to work performance and positive behaviour/attitude in completing tasks.
POLICY DESCRIPTION:
The bonus point system was implemented to provide a mechanism to further motivate all Melbourne team members to perform and complete their tasks in a more efficient and effective manner by rewarding them financially through accumulated bonus points system. This reward system will allow Melbourne team members to increase their take home pay on a monthly basis through the bonus points earned, which are converted to their cash equivalent.
This policy will standardise the procedure by clearly identifying the parameters in adding or deducting point/s to team member/s. These parameters will be fully cascaded to all team members so they will be aware of all the reasons and occasions/s when point/s can be achieved or taken away.
Think of the Bonus Point system as a Bank. Each time a desired action occurs, points are deposited into the bank. Each time an undesirable action occurs, points are subtracted from the bank. The bank balance starts at 0 when a new team member begins. The balance carries over each month, so if you have a balance of 10 at the end of the first month, you start with that balance of 10 the second month. Effectively, this means, if you did good things to earn 10 points, as long as you didn't do anything bad ever after, you would receive the maximum bonus from then on, regardless if you didn't do another good thing either. Likewise, if you get a negative balance, you don't receive any bonus until you do such things to achieve enough bonus points to have a positive balance again.
Bonus points for a particular month are tallied up until the 3rd Wednesday of the following month, at which time they are paid. This allows customers that were serviced at the end of the month time to realise there was an issue with a delivery or service and call to notify us. Likewise, if gives customers that received a great product or service time to call or email or leave a positive review and we can then apply it to the accumulated points. Sometimes the issue or error isn't immediately obvious, or the compliment or complaint needs to be investigated prior to being approved. By paying the bonus for the previous month on the 3rd Wednesday of the following month, these investigations can happen, and everyone receives their fair and accurate points for that month and there is no dispute after payment has been made.
PROCEDURE:
1. All Melbourne team members will be eligible to the bonus point system after one month of trial/training.
2. Anyone can nominate anyone else for points, both positive or negative, and including nominating yourself for points if they have been overlooked or you think you should be rewarded for something extra that you have done. Nominations made by drivers should be made in their Skype Group Chat, or if they would like to nominate in private, they can nominate in their Skype HR Chat. All office team members though may recommend point/s to be added/deducted to/from specific team members through the Trello card “Point Recommendations”, subject for validation and review of the HR Manager.
3. The Logistics Manager or HR Manager or Branch Manager are the only authorised officers to add new team member/s to the AWM-Manage system. 4. The HR Manager is the only authorised officer to add and deduct point/s to or from the team member/s in the AWM-Manage system.
5. Points are reviewed by the HR Manager and either approved or declined each week based on their investigation of the facts of the matter and the guidelines.
6. Being nominated for points does not necessarily mean you will receive them, either +ve or -ve.
7. Each point earned by team members is equivalent to $40 and is given every month during “bonus day” regularly scheduled coinciding with the payroll. The HR Manager will monitor, compute and incorporate in the payroll the bonus points earned by all team members and cascade the information on how many points were earned and their dollar equivalent.
8. All Melbourne team members will be given a printed copy of their bonus points rewarded along with their associated bonus/payroll monthly during “bonus day”. The Melbourne office staff shall be responsible in issuing this to the team members.
9. For objectivity and fairness, the following are some identified parameter examples that will serve as guide in adding or deducting points to team members. These parameters will be clearly cascaded to all Melbourne team members to promote transparency. The lists are examples only and don't cover every situation. A "Logical Reasoning" approach is to be taken to the nomination of Bonus Points.
Parameters for Points to be Added:
1. All BNO's are correct, team member went to accurate location, followed account notes and this is proven by photos. All attempts were made to locate the bin and contact the customer where necessary and the run was finished correctly. 1 week = 1 Point.
2. Team Member suggests ways to minimize costs and improve efficiency by supplying run order edits, by taking notice of runs and pointing out incorrect jobs on runs. = 1 point per occasion.
3. Team Member receives positive review = 1 point per review.
4. Team Member points out major mechanical faults on his run sheet prior to it becoming a huge issue = 1 point per mechanical issue.
5. Team Member goes out of his way by performing various additional jobs, works on a day off or helps out his fellow team mates in order to get all of the runs completed = Case by case.
6. Team Member puts in a substantial amount of overtime in order to get jobs completed = Case by case.
7. Team Member does a duty that is above and beyond their role. Eg: helps out with yard work, helps pick and pack orders, helps prepare bins for delivery. = Case by case.
8. Team Member goes 2 weeks without any complaints, mechanical issues, or run issues. = 1 point every 2 weeks per occasion
9. Team Member does whatever it takes to complete their run after having difficulties of any kind. =1 point per occasion.
10. Team Member receives 1 positive point for each successful sale or service sign up over $100 AUD. The team member should have followed through with the customer through from the initial enquiry until the time payment is made or the service agreement is entered. This won't apply where the Team Member has needed substantial assistance to get the outcome by way of email proofreading or corrections, or otherwise, someone else is significantly involved.
Parameters for points to be Deducted:
1. Team Member does not complete paperwork: ie: Reporting of BNO's, mechanical check sheet and photographs etc. -1 point per error.
2. Team Member does not upload dockets: ie: One Paper or Cleanaway dockets. = -1 point per error.
3. Team Member does not have correct spare parts in his truck such as stickers, pens, review cards, tools etc. = -1 point per error.
4. Team Member receives a negative review from a customer. = Case by case to cover severity of complaint.
5. Team Member causes any damage to our vehicle/property. In order to establish points, vehicle/property (eg: Trucks or bins) must be assessed for the cost of repair. Evaluated on a case by case basis. Insurance Excess starts at $2000 (-50 points).

7. Team Member picks bins or products incorrectly. Case by case to cover cost of rectification.
8. Team Member fails to effectively train new team members. -1 point per error.
9. Team Member gives up on a task without trying everything possible to get a good outcome. -1 point per occasion.
10. Team Member doesn’t do everything possible to complete a collection successfully, resulting in an incorrect BNO report and customer complaint. -1 point per occasion.
11. Team Member fails to nominate in the trello in the incorrect format.
10. If any team member has complaints, feedback or concerns on the bonus points earned or deducted, the issue must be directed to the team members HR Skype Chat for review by HR and Management.
